Booking Terms & Conditions

These Booking Terms & Conditions form the basis of the agreement between Ongeri Expeditions – Luxury Safaris (“Ongeri Expeditions”, “we”, “us”, “our”) and the client (“guest”, “you”). By confirming a booking, you acknowledge that you have read, understood, and agreed to these terms.
1. Currency & Pricing
All prices are quoted in United States Dollars (USD), Euros (EUR), or British Pounds (GBP), unless otherwise stated.
Prices are based on prevailing supplier rates, park fees, taxes, fuel costs, and exchange rates at the time of quotation. Ongeri Expeditions reserves the right to adjust prices prior to written confirmation should there be material changes in:
- Government taxes or statutory levies
• Park or conservation fees
• Fuel surcharges
• Supplier rate adjustments
• Currency fluctuations
Once a booking is confirmed and the required deposit has been received, the agreed price is guaranteed, except in cases of government-imposed increases beyond our control.
2. Payment Terms
To confirm a reservation, a non-refundable deposit of 30% of the total safari cost is required.
The remaining balance is due no later than 60 days prior to departure.
For bookings made within 60 days of departure, full payment is required at the time of confirmation.
Failure to remit payment by the due date may result in cancellation of the booking and forfeiture of monies paid.
3. Amendments
Amendments requested after confirmation are subject to availability and may incur administrative fees and supplier-imposed penalties.
Material changes to confirmed itineraries (including dates, properties, or destinations) may be treated as a cancellation and rebooking.
4. Cancellation Policy
All cancellations must be submitted in writing and acknowledged by Ongeri Expeditions.
Cancellation charges are calculated based on the date written notice is received:
- 60 days or more prior to departure: Deposit (30%) non-refundable
• 59–45 days prior: 50% of total safari cost
• 44–30 days prior: 75% of total safari cost
• 29 days or less: 100% of total safari cost
All deposits are non-refundable, as they secure exclusive accommodations, permits, and services arranged on your behalf.
Certain properties, gorilla permits, private villas, or peak-season bookings may carry stricter cancellation terms, which will be communicated at the time of booking.
5. Minimum Participation (Small Group Journeys)
For scheduled small group journeys, a minimum number of participants may be required.
If the minimum number is not met, Ongeri Expeditions reserves the right to:
- Offer an alternative departure date
• Offer a comparable private safari option (with price adjustment if applicable)
• Provide a refund of payments made, less non-recoverable costs
Notice will be provided in reasonable time prior to departure.
6. Travel Insurance
Comprehensive travel insurance is mandatory for all guests and must include coverage for:
- Trip cancellation or curtailment
• Medical expenses and emergency evacuation
• Personal accident
• Loss or theft of personal belongings
• Personal liability
Proof of insurance may be requested prior to departure.
7. Itinerary Adjustments
While every effort is made to operate itineraries as published, safari travel involves dynamic environments.
Ongeri Expeditions reserves the right to modify itineraries due to:
- Weather conditions
• Wildlife movement
• Operational considerations
• Safety concerns
• Supplier changes
In such cases, we will substitute services with comparable alternatives of equal value wherever possible.
8. Force Majeure
Ongeri Expeditions shall not be liable for failure to perform obligations due to events beyond our reasonable control, including but not limited to:
- Natural disasters
• Pandemics or health emergencies
• Government restrictions or border closures
• Political unrest or civil disturbance
• Acts of God
• Airline disruptions or strikes
In such cases, refunds will be subject to recovery from suppliers and third parties.
9. Responsibility & Liability
Ongeri Expeditions acts as an agent for accommodation providers, airlines, ground handlers, transport companies, and other third-party suppliers.
We shall not be liable for:
- Injury, loss, damage, delay, or inconvenience caused by third-party suppliers
• Mechanical breakdowns
• Airline schedule changes
• Wildlife-related incidents
• Optional activities booked directly with third parties
Participation in safari activities involves inherent risks. Guests participate at their own risk.
Our liability, where applicable, shall not exceed the total amount paid for the safari.
10. Health & Documentation
Guests are responsible for:
• Valid passports and visas
• Required vaccinations
• Compliance with health regulations
• Fitness for travel
Ongeri Expeditions shall not be liable for denied entry due to documentation issues.
11. No Refunds for Unused Services
No refunds will be issued for:
• Late arrivals
• Early departures
• No-shows
• Voluntary changes during travel
• Unused services
12. Smoking Policy
Smoking is strictly prohibited in all Ongeri Expeditions vehicles. Guests are expected to comply with lodge, camp, and national regulations.
13. Governing Law
These Terms & Conditions are governed by and construed in accordance with the laws of the Republic of Kenya.
Any disputes arising shall be subject to the exclusive jurisdiction of Kenyan courts.
14. Data Protection
Personal information provided will be used solely for the purpose of arranging your safari and will not be shared with third parties except as required to deliver services.
